Office Manager - Ophthalmology

Working management position that is responsible for overall office activities, oversees the day-to-day operational functions of a particular location of the medical practice, ensuring that office policies and procedures are executed in a smooth and expeditious manner. Key responsibilities include personnel management, patient flow, and office administrative duties.

Education and Experience:

  • High School Diploma
  • BS or AAS Degree preferred
  • 7-10 years of experience working in a medical office preferred
  • 3-5 years of prior experience working in an Ophthalmology office preferred
  • 3-5 years of previous supervisory experience is preferred
  • Knowledge of basic building maintenance helpful
  • Certified Ophthalmic Assistant designation is desired
  • 3+ years of prior experience working as an Ophthalmic Technician and/or Scribe is desired
  • General Knowledge of Information Technology, Networking and Office Equipment

Essential Skills and Abilities:

Responsibilities:

Staff

  • Conduct daily "coaching & game plan strategy" meetings at the start of each day with Office Team.
  • Oversee all employees at physical location. Delegate duties to utilize staff at optimal efficiency; including rotating staff when necessary to accomplish projects. Address any behavioral issues as they arise.
  • Directly supervise Technicians, Scribes, Surgical Coordinators and Receptionists that are regularly scheduled at the location you manage.
  • Efficiently schedule employees, monitor employee's attendance with regard to ECVA's Attendance Policy. Review and edit employee's time cards daily, ensure employee's time card is accurate before approving for payroll.
  • Communicate with other managers regarding workflow consistency and performance for staff that routinely float between offices.
  • Attend manager meetings to present and resolve on-site/policy issues as they arise.
  • Conduct regular staff meetings to keep employees apprised of policy changes and/or updates. Discuss and resolve any new issues pertaining to on-site location.
  • Be familiar with the duties of the Technical and Receptionist staff and be able to fill-in as necessary to facilitate patient workflow.
  • Perform performance reviews for Technicians, Scribes, Surgical Coordinators and Receptionists regularly scheduled at the location you manage and meet with the Practice CEO to discuss recommended raises, promotions and disciplinary actions.
  • Be available to participate in performance reviews for employees who rotate at your location, but report to other managers.
  • Create an atmosphere of cooperation and teamwork.
  • Maintains work operations by following compliance plan, policies and procedures; reporting compliance issues.
  • HIPAA Security - it is the responsibility of the Office Manager to assess risk and engage in ongoing evaluation & monitoring to ensure compliance.

Patient Flow

  • Be aware of patient flow and take corrective action to ensure that the office is running efficiently.
  • Be aware of office procedures for dealing with patients and provider needs.

Physical Plant

  • Periodically monitor office physical environment and operations to gauge the effectiveness of security safeguards.
  • Works in collaboration with the practice CEO to coordinate minor office repairs, general and building maintenance.

Equipment

  • Supervises the maintenance of office equipment, including copier, fax machine, etc. and contacts appropriate vendor for repairs or replacement.
  • Notifies the Administrator of problems with or repairs needed to medical equipment.
  • Reports all computer issues to Administrator or designate.

Administrative

  • Contributes to ad-hoc administrative, strategic planning and quality assurance projects as needed to help enhance ECVA operational efficiency.
  • Communicates on a regular basis with CEO to provide progress reports on team building activities, customer service and operational issues.

Ophthalmic Assistant/Tech

The Ophthalmic Assistant/Tech interacts with patients using compassion, respect and professionalism. Monitors patient flow, prepares the patient for the exam, and assists the physician in patient examinations to allow for proper, professional diagnosis of patients' conditions.

Duties:

  • Obtain patient medical history, chief complaint, and history of allergies and medications
  • Perform accurate and consistent documentation and measurement tasks to include:
    • Visual Acuity
    • Lensometry
    • Confrontational Visual Fields
    • Stereo testing
    • Evaluation of Motility
    • Pupillary Function Tests
    • Color Plates
    • Tonometry
  • Performs ordered diagnostic testing which may include:
    • IOL Master
    • Visual Fields
    • OCT
    • Fundus Photography

Essential Skills and Abilities:

  • Exceptional communication and interpersonal skills
